The schedule can be generated in one step or two steps.  


Step 1 - Generating The Grid:  If you have special circumstances you may want to manually assign ministers to specific weeks and masses, prior to assigning all ministers, you will want to generate the grid first.  Go to Scheduling along the top bar and and click Generate Schedule in the drop down menu.  A popup box will appear where you will type in the the dates of the schedule you want to generate.  Many of the churches will generate their schedule quarterly.  If you recall the service week is from Friday to Saturday.  To ensure you get the entire weekend select Saturday as your start date and Friday as your end date (the screen print below shows how to generate a grid for the remainder of June). Click Generate Grid and hit Save.  When the grid is finished generating you will see all the ministry slots that will need to be filled.  This is where you want to manually assign any ministers to specific weeks and masses where you may have special circumstances.

To manually input any of your ministers click on View and you can select the minister you want to serve at the Mass and click save.  


NOTE:  Manually assigning members does NOT take into account any Busy Weeks that they may have for the date you are adding them to.  The Member Busy Week is a good report to have handy when doing manual assignments so you verify they are available.



You may also add a Service Assignment.  Maybe one of your masses will have more people in attendance than normal and you want to schedule an extra Eucharistic Minister.  Click on Add Service Assignment.  Choose the date, Mass time, Ministry Committee and the minister who will be serving.  Hit Save.

You can also delete and copy any Service Assignment in the grid.  Once you make any manual changes it't time for Gabriel to do it's job of assigning members to the grid based on their availability and Mass preferences.  


NOTE:  Manually assigning members does NOT take into account any Busy Weeks that they may have for the date you are adding them to.  The Member Busy Week is a good report to have handy when doing manual assignments so you verify they are available.



Step 2 - Generating The Schedule:  Once you have entered any manual service assignments you can now generate the schedule.  You will enter in the same date range you did in Step 2 but this time you will check the Assign Members to Grid and leave the Generate Grid check box unchecked.  If you check Generate Grid that will regenerate the grid and delete all of your manual entries made for that date range 




If you want to bypass generating the grid because you do not have any manual assignments you can enter the date range and check both check boxes - Generate Grid and Assign Members to Grid.   

When the Schedule is finished generating you will open it and you will see all the ministry slots have been assigned.  If you have to make any changes you can select View and change who was assigned to that spot.  You can also delete any slots or make a copy if needed.



If you find that you did not update busy weeks correctly or you incorrectly assigned ministers to the correct Service Preference you can go back and make your changes and you can regenerate the schedule at anytime with the new updates following the same steps as above.
